How do you develop standard operating procedures and implement a robust security policy?

In a world where risks are increasingly numerous and complex, it is becoming crucial for companies to develop standard operating procedures (SOPs) and put in place a robust security policy. This not only ensures the safety of humanitarian personnel and infrastructure, but also guarantees the organisation's continuity in the face of external and internal threats. Well-structured advanced security management is essential to achieving this. This article explores the key steps in creating effective procedures and a robust security policy.
Advanced safety management: the driving force behind effective procedures
Advanced security management refers to the adoption of sophisticated strategies and technologies to proactively identify, analyse and address risks. This approach enables organisations to take the lead in security matters, rather than waiting for an incident to occur. A robust security policy therefore starts with advanced security management, which involves identifying potential threats and implementing solutions to counter them. But to be effective, this strategy must be based on standard operating procedures (SOPs).

What is a standard operating procedure (SOP)?
Standard operating procedures are documents detailing the steps to be followed to perform a specific task in a consistent and secure manner. They help to ensure continuity of operations, and guarantee that good practice is applied at every stage of a process. SOPs are particularly important in areas where security is a priority, such as information systems management, physical security and risk management.
As part of advanced security management, standard operating procedures are used to define the actions to be taken in the event of a security incident, to prevent risks upstream, and to ensure that each employee is aware of his or her responsibilities in terms of security.
Step 1: Identify risks and safety requirements
The development of standard operating procedures begins with the identification of the risks to which the organisation is exposed. This includes physical threats, such as fires, attacks and arrests, but also digital risks, such as cyber attacks or data breaches. The aim is to determine the critical areas of the organisation that require enhanced protection.
In the context of advanced security management, this identification is generally carried out using risk management methods or vulnerability assessments of systems and infrastructures. These tools provide a precise picture of the areas where security measures need to be reinforced.
Step 2: Define clear and measurable safety objectives
Once the risks have been identified, it is essential to define clear and measurable security objectives. These objectives must be aligned with the NGO's security objectives and needs, and must be specific enough to be monitored and measured.
Security objectives are at the heart of effective advanced security management. They guide the implementation of procedures and help to evaluate the performance of the safety policy over time.
Stage 3: Developing standard operating procedures
Standard operating procedures should be developed taking into account identified risks and safety objectives. Each procedure should describe in detail the steps to be taken to prevent, detect and react to risks. For example, a procedure for managing a data breach could include actions such as :
- Triggering a security alert with the risk management team.
- Confirm the nature of the incident (unauthorised access, hacking, etc.).
- Isolate the systems concerned to prevent the threat spreading.
- Analyse compromised data and inform stakeholders.
- Drawing up an incident report for a post-event audit.
Each process must be accompanied by clearly defined roles and responsibilities, as well as communication mechanisms to ensure that all stakeholders know what to do and when.
Stage 4: Training staff and raising safety awareness
Standard operating procedures can only be effective if they are well understood and followed by all staff. Training is therefore a key element in the development of these procedures. Humanitarian staff must be trained in security procedures, incident management and how to respond to potential threats. Security awareness must be continuous, as threats evolve rapidly.
In addition, training must include practical exercises and simulations to prepare staff to react effectively in the event of a real incident.
Stage 5: Continuous evaluation, adjustment and improvement
Safety is a constantly evolving field. Once the standard operating procedures and security policy are in place, it is crucial to evaluate them regularly and adjust them if necessary. This includes carrying out internal and external audits, analysing past incidents and adjusting procedures to incorporate lessons learned.
Advanced security management must be dynamic, capable of adapting to new risks and technologies, and ready to evolve in line with the needs of the NGO and regulations.
Things to remember
Developing standard operating procedures and implementing a robust security policy is a complex process, but essential for the long-term security of any organisation. Through advanced security management, it is possible to reduce risk, prevent threats and ensure the NGO's resilience in the face of security challenges. These key steps not only ensure regulatory compliance, but also create a culture of security within the organisation, where every employee plays a part in protecting the company.
